As a service provider, we process data on behalf of our clients, which may include customer interaction records (calls, chats, emails), call recordings and transcripts processed through our Speech Analytics and Text Analytics modules, CRM and EMR data accessed through integrations (GoHighLevel, HubSpot, Zendesk, Epic, Cerner, Talkdesk, and others), and data processed by our AI modules including Intelligent Virtual Assistants, ClumyCopilot, ClumyCoach, and Insight Bots. This client data is processed under the terms of our service agreements and, where applicable, Business Associate Agreements (BAAs) for HIPAA-covered entities.
We use collected information to respond to inquiries and schedule consultations, provide and improve our nearshore call center and AI automation services, operate and enhance the ClumyAssist platform, analyze service performance and generate insights for our clients, comply with legal obligations including HIPAA where applicable, and communicate with you about our services.
Clumy provides services to healthcare and dental organizations. When acting as a Business Associate under HIPAA, we maintain administrative, physical, and technical safeguards for Protected Health Information (PHI), execute Business Associate Agreements with covered entities, limit PHI use and disclosure to permitted purposes, and train personnel on HIPAA requirements. Our AI tools that process PHI — including virtual assistants for patient scheduling, insurance verification, and care coordination — operate under these same safeguards.
Our ClumyAssist platform uses artificial intelligence to process customer interactions. This includes automated analysis of voice and text communications for sentiment, compliance, and quality, real-time AI-assisted guidance to human agents via ClumyCopilot, AI-powered virtual assistants that interact directly with end users, and automated coaching recommendations through ClumyCoach. AI-processed data is used to improve service quality and generate operational insights. Human oversight is maintained across all AI operations.
Clumy records and stores telephone interactions in our secure databases for quality assurance, agent training, AI-powered speech analytics, compliance monitoring, and service improvement purposes. These recordings are analyzed by our ClumyAssist platform — including Speech Analytics, ClumyCopilot, and ClumyCoach modules — to enhance the quality of service we provide. Call recordings and their derived data are never sold, licensed, or shared with third parties for marketing or commercial purposes. Access to stored recordings is restricted to authorized personnel and is governed by applicable service agreements and, where PHI is involved, HIPAA Business Associate Agreements.
We do not sell your personal information or call recordings. We may share information with service providers and subprocessors who assist in delivering our services, client organizations for whom we process data under service agreements, and legal authorities when required by law or to protect rights, safety, or property.
Website visitor data is retained for as long as necessary to fulfill the purposes described in this policy. Client service data is retained per the terms of individual service agreements. You may request deletion of your personal information by contacting us.
We implement industry-standard security measures including encryption in transit and at rest, access controls and authentication, regular security assessments, and employee training on data handling procedures.
